Overview
Our Shared Services team is looking for an Accounts Payable Specialist who thrives in a fast-paced environment and enjoys working with systems, processes, and people to keep things running smoothly. This hybrid role (based in San Diego, CA) is great for someone who loves digging into details, solving discrepancies, and playing a key role in ensuring vendor payments are accurate, timely, and compliant.
As the Accounts Payable Specialist, you’ll be responsible for administering our automated invoice approval workflow, overseeing OCR processes, managing vendor set-ups, and processing payments across multiple entities. You’ll also support audits, escheatment filings, and system transitions as we expand our shared services model. This role requires accuracy, organization, and the ability to collaborate cross-functionally to resolve issues quickly and effectively.
What You’ll Be Doing
- Manage AP Systems – Oversee the company’s automated invoice approval and OCR processes (Medius/D365).
- Vendor Support – Process vendor add/changes, handle credit requests, and assist with 1099s and agency filings.
- Process Transactions – Monitor and resolve invoice/PO variances, process vouchers, and serve as backup for outgoing payments across multiple entities.
- Compliance & Controls – Ensure AP submissions meet Sarbanes-Oxley standards, support audits, and assist with escheatment filings.
- Collaborate & Improve – Work with Supply Chain, Finance, and external vendors while contributing ideas for process improvements and system enhancements.
What You’ll Bring To The Role
- 5+ years of experience in a high-volume Accounts Payable environment.
- Proficiency with purchase order and non-purchase order invoices, vendor payments, and reconciliations.
- Experience with electronic disbursements (ACH, wires, checks).
- Strong organizational, problem-solving, and multitasking skills.
- Ability to reconcile moderately complex invoices/statements
- Ability to communicate effectively with internal teams and external vendors.
- Familiarity with inventory purchases and variances in a standard cost system.
- Associate degree or higher preferred.
Total Rewards
$49200– $80000 / year includes base salary plus 10% - 15% profit-sharing contribution to your retirement account. Salary is determined by multiple factors including relevant experience, knowledge, skills, other job-related qualifications, and alignment with market data..
